Mountain weddings need a transportation plan
Weddings in the Roaring Fork Valley are breathtaking, and they're spread out. Ceremonies happen at mountaintop venues, private ranches in Woody Creek, riverside properties near Basalt and lodges in Snowmass Village. Guests stay in a dozen different hotels and rentals. Parking at many ranch venues is limited, and gravel driveways and mountain roads aren't where guests want to be driving after a reception.
A coordinated transportation plan solves all of it. We shuttle guests from central pickup points, deliver the wedding party on time for photos, and give the couple a private ride with a proper send-off.
Vehicles for the couple, the party and the guests
Our black Lincoln MKT 10-passenger stretch limo is a bride-and-groom favorite — elegant, roomy and perfect for photos. For an all-white look, choose the white Cadillac Escalade or white Mercedes GLS stretch limo. The wedding party fits beautifully in a Sprinter party van, and guest shuttles run on party buses or motor coaches for larger counts.
For family members who prefer a quieter ride, black Suburban and Escalade SUVs are options to request. Every vehicle has WiFi.

Local venues and timing
Woody Creek ranches are a short drive down valley from Aspen, while Snowmass venues sit about 20 minutes away in good conditions. Basalt is about 30 minutes from Aspen and Carbondale about 40, so timing matters when guests are staying in town and celebrating down valley. We build buffers for weather, photographs and the inevitable 'one more picture' moment.
Share your venue, ceremony time, reception end time and guest lodging with your planner, then text us the details. We'll recommend a vehicle mix and loop schedule, and you'll get a FREE custom estimate.
Booking details
Most bookings have a 4-hour minimum, and high-season Friday–Sunday dates carry a 6-hour minimum — which is when most weddings happen, so plan accordingly. Stretch limos range from about $150–$350 per hour, Sprinter limo vans $200–$350 and party buses or motor coaches $250–$400, varying by vehicle and season. Your quoted rate is locked in when you book. Chauffeur gratuity is not included. Hablamos español, so bilingual families can coordinate in either language.
Make the guest shuttle a timetable, not a guess
Work backward from the time guests must be seated. Each loop includes hotel loading, the drive, venue unloading and the return to the next pickup. A bus that holds forty guests does not move eighty guests in one trip. Give your planner a roster by hotel and assign a departure to each guest so the earliest shuttle is not empty while the final one is overloaded. Choose a ceremony arrival buffer with the venue rather than telling everyone the ceremony start is their pickup time.
At a Woody Creek ranch, ask about gravel condition, gate width, overhead clearance and a place to turn before selecting a long vehicle. Confirm whether a roadside drop-off would require a safe walking path. A mountaintop celebration may also involve a lift or another operator; a road vehicle booking does not include that access. Separate the couple's photo movements from guest loops if sharing one vehicle would cause conflicting obligations.
Protect the final departure
A reception needs a first return for tired guests and a clearly communicated final ride, not just an outbound bus. Give the planner and chauffeur one agreed end-of-night contact and a place for guests to gather under shelter. If lodging is spread between Aspen, Snowmass and Basalt, compare separate routes with one long loop. Twenty or thirty minutes between towns in good conditions can feel much longer to a guest waiting through somebody else's drop-off.
Confirm mobility assistance and child-seat needs before booking; do not infer accessibility from a vehicle name or photograph. Stretch limos offer a ceremonial arrival, party Sprinters move a modest wedding party and buses or coaches serve larger rosters. Equipment, dresses and personal bags still require storage. Vehicle mix, reserved hours and season determine the estimate, and gratuity is separate. An extra photo stop is lovely when the schedule allows it, but a safe shuttle arrival should not depend on the chauffeur making up lost time.
Send guests usable instructions
The guest message should name the lodging entrance, gather time, assigned departure and final return. Do not send only the wedding venue address and hope everyone knows where to board. Include a planner contact and tell guests if a walking or venue-operated transfer follows the road shuttle. A short clear message helps guests with unfamiliar phones or poor coverage follow the same schedule. Update one shared version when plans change, rather than allowing older pickup times to circulate.
