Start with the working itinerary
A productive retreat begins before the first presentation. Someone needs to collect the leadership team, bring attendees from separate hotels and return everyone after dinner. Build those movements into the agenda while meeting times are still flexible. A transport plan should identify who travels together, what they carry and which arrival deadlines cannot move. That is more useful than reserving a vehicle first and trying to make every movement fit it later.
This page focuses on business travel logistics: retreats, conferences, executive roadshows and recurring hotel-to-venue shuttles. For a celebration-led company outing, our corporate events page is the more relevant starting point. Here, the priority is protecting preparation time, keeping delegates informed and giving an executive assistant or meeting planner one point of contact and one invoice for the agreed transportation program.
Executive SUVs for small teams and roadshows
Black SUVs include Escalade, Suburban and Navigator options for up to six passengers. They suit principals, visiting speakers and small teams moving between presentations. Passenger capacity is not the same as luggage capacity: send the number of full-size cases, carry-ons and presentation materials before choosing a vehicle. A nominal six-person group may need a different arrangement when everyone arrives with winter luggage.
For roadshows, provide the exact entrance for each meeting, the required arrival time and the expected meeting duration. Identify which stops need a waiting vehicle and which are separate transfers. Do not treat a private conversation in transit as a substitute for your organization’s information-security procedures. WiFi is available in every vehicle, but essential slides and contact details should also be accessible offline.
Retreat and conference shuttles with usable departure windows
A shuttle timetable works best when it includes loading, not merely driving. Share hotel names, passenger counts at each property and the venue entrance approved for your group. Ask the hotel or venue to confirm where the selected vehicle may load. A narrow driveway or busy curb can change the practical pickup location, particularly when a larger group is leaving at the same time.
For a conference morning, work backward from when attendees must be seated. Allow time to gather in the lobby, identify the correct vehicle, load bags and walk from the drop-off to registration. Return service needs equal attention: one departure after the closing session may not serve speakers staying for a reception. Price a defined additional departure rather than assuming the first vehicle can remain indefinitely.
- Separate required business movements from optional dinners and activities.
- Assign a passenger lead for each hotel departure.
- Specify whether return trips are scheduled departures or a quoted shuttle window.
- Confirm loading access and a fallback meeting point with each property.
Match the vehicle to the program
An Executive Sprinter seats 9–13 and is useful for airport transfers and groups carrying ski luggage. Motor coaches seat 40–56 for larger conference movements. A Sprinter limo or party van seats 14–16, while party buses generally carry 20–40, with some accommodating roughly 50. Choose the atmosphere as deliberately as the seating: a working transfer and a celebration do not necessarily need the same cabin.
Send mobility requirements, child-seat requests for accompanying families and equipment dimensions before the estimate is finalized. Do not assume a particular vehicle has an accessibility feature without confirmation. For mixed programs, an SUV for an early speaker arrival and a larger vehicle for the main delegation can be more practical than keeping everyone on the same schedule.
Build a mountain-weather margin into the agenda
In good conditions, ASE to downtown Aspen is about 10 minutes and Aspen to Snowmass Village is about 20 minutes. Those are driving estimates, not complete door-to-meeting allowances. Weather can add significant time, and loading a group takes longer than collecting one traveler. Avoid placing an essential presentation immediately after a flight arrival or a transfer from another airport.
For guests arriving farther afield, Eagle is about 1.5 hours from Aspen in good conditions; Denver is about 3.5–4 hours via I-70 and Glenwood Springs in winter. Independence Pass is closed roughly November through late May. Discuss a revised arrival window if a flight or road disruption changes the day, rather than building the program around an optimistic shortcut. Every vehicle has winter tires all ski season.
One invoice, with the scope agreed first
Consolidated billing is easier to reconcile when the estimate names each movement. Supply dates, passenger counts, pickup addresses, stops and service windows. Identify the person authorized to approve added time or an extra transfer. One point of contact reduces conflicting instructions; it does not mean an unplanned vehicle or schedule extension is automatically included. Ask how revisions will be documented before the program begins.
Black SUVs range from $125–$200 per hour, depending on size and season. Most bookings have a four-hour minimum; prom, homecoming and high-season Friday–Sunday bookings have a six-hour minimum. Chauffeur gratuity is not included. The rate is locked in when you book, with no surge pricing. Ask the estimate to distinguish the booked scope from potential changes so your internal approval covers the actual itinerary.
Give the planner a clean handoff
Keep one current passenger manifest with arrival details, hotel assignments and a reachable traveler contact. Distribute a guest-facing version with only the information attendees need: pickup time, meeting point and who to notify if delayed. When a session runs late, route the decision through your designated planner rather than asking individual attendees to negotiate different departure times.
