Independent transportation, not a hotel-operated shuttle
Your room reservation and your transportation reservation are separate arrangements. Party Bus Aspen serves hotel guests as an independent provider and is not affiliated with any hotel. A hotel name on your itinerary identifies where you are staying; it does not imply a partnership, preferred-provider relationship or included hotel amenity. Confirm any hotel-operated shuttle directly with the property rather than assuming it is part of our booking.
This distinction helps with practical questions, too. Ask who is booking the ride, who approves changes and which contact should receive the itinerary. If a concierge is helping coordinate your visit, make sure the traveler and booking contact have the same pickup instructions. A useful confirmation names the property entrance, departure time, passenger count and destination instead of simply saying that a car will be at the hotel.
Hotels in Aspen and Snowmass
We serve guests of The Little Nell, Hotel Jerome, The St. Regis Aspen, The Limelight, W Aspen, Aspen Meadows and Viceroy Snowmass. Transportation is independently arranged, and none of these names implies affiliation. Send the full property name and address with your request, especially if a booking confirmation uses a shortened hotel name. That small detail prevents a pickup plan from relying on an assumption about your location.
Hotels can have different entrances for arrivals, group departures and luggage collection. Confirm the appropriate loading location with the property before finalizing the ride. Do not assume every vehicle can wait at the front entrance or that a large group can assemble there without coordination. For several rooms departing together, choose one guest lead and a lobby meeting time before the actual vehicle departure.

- Viceroy Snowmass for guests based in Snowmass.

Private residences need an access plan
A home address alone may not tell a chauffeur where to collect your group. For residences in Red Mountain, Starwood and Snowmass Village, provide the approved approach, gate instructions when applicable and a reachable host or property-manager contact. Share sensitive access details directly with the booking contact, not in a message distributed to every dinner guest. Confirm whether the chosen vehicle can safely reach and turn at the property.
Winter snow storage, steep driveways and limited turning space can affect the pickup arrangement. Ask the property manager about current access and agree on an alternative meeting point if needed. Never assume that a coach can reach a home simply because an SUV can. If guests occupy several residences, list each address and passenger count so the route and loading time reflect the real stops.
Plan luggage before selecting the cabin
A black SUV accommodates up to six passengers, but a family with skis and large winter cases needs a luggage discussion as well as a seat count. Executive Sprinters seat 9–13 and suit airport travel with ski luggage. Share the number of ski bags, snowboards, suitcases and strollers before the vehicle is chosen. Request child seats when booking, rather than leaving the request until pickup.
For a larger hotel group, motor coaches seat 40–56. Sprinter limo or party vans seat 14–16 and party buses generally seat 20–40, with some accommodating roughly 50. Those options serve different occasions; a celebration cabin is not automatically the right choice for an early airport transfer. Every vehicle has WiFi. Keep essential arrival instructions available offline as well, particularly when traveling with a group whose phones may be on different networks.
Airport arrivals and ski mornings have different clocks
ASE to downtown Aspen takes about 10 minutes in good conditions, while Aspen to Snowmass Village takes about 20 minutes. Neither estimate includes collecting luggage, assembling a family or loading ski equipment. Weather can add significant time. For an airport arrival, provide the flight details and lodging address; for departure, share the flight time and discuss the pickup allowance rather than subtracting only the driving estimate.
A ski morning has its own sequence: breakfast, equipment collection, children getting ready and everyone reaching the meeting point. Set a realistic lobby gathering time so the scheduled departure is not the first moment guests begin looking for their gloves. For the return, identify the agreed meeting location and how the party will communicate a change. Every vehicle has winter tires all ski season, but weather still requires schedule flexibility.
Dinner transfers and days with several stops
A dinner reservation can involve a short drive but still require a carefully scoped booking. Tell us whether you want a one-way movement, a planned return or a vehicle available during a defined service window. Include any change of clothes, shopping stop or second pickup before dinner. Do not assume that a quick trip has a different minimum or that waiting time is automatically included.
If guests are split between Aspen and Snowmass, decide whether everyone will gather at one property or board at separate stops. Multiple pickups can be convenient, but they also add loading time and may affect the evening schedule. For the return, give guests a clear departure time and destination list. A single guest lead is especially useful when a dinner ends later than expected and the itinerary needs review.
Book directly with a clear estimate
Most bookings have a four-hour minimum. Prom, homecoming and high-season Friday–Sunday bookings have a six-hour minimum. Black SUVs range from $125–$200 per hour, depending on size and season. Chauffeur gratuity is not included. Your rate is locked in when you book, with no surge pricing. Ask for the full itinerary to be reflected in the estimate, including the planned stops and service duration.
