Aspen Holiday Weeks: Why to Book Christmas, New Year's and Presidents' Week Early

Reserve the transportation shape of your holiday week early, then refine flights, luggage and pickup details before travel.

1. Book the shape of the trip before every detail is fixed

Christmas, New Year’s and Presidents’ Week often bring several transportation needs into the same family itinerary: arrivals with luggage, ski mornings, dinners and departures. Booking early gives you more opportunity to discuss the right vehicle and service windows before those needs become last-minute decisions. It does not require pretending every restaurant reservation is final. Start with the dates, group size, lodging and essential movements, then identify which details are still tentative.

There is no honest universal deadline that guarantees a particular vehicle for every holiday week. Availability depends on the requested dates, vehicle category and itinerary. Ask as soon as the trip takes shape, particularly when several households need coordinated travel or a specific cabin arrangement matters. An early inquiry is not the same as a confirmed booking: ask what is required to reserve the service and review the terms before assuming your requested vehicle and schedule are secured.

2. Treat the three holiday periods as different itineraries

A Christmas visit may revolve around family arrivals, ski lessons and meals at a residence. New Year’s travel can place more weight on a late dinner, a celebration and a clearly agreed return. Presidents’ Week may be built around repeated ski departures and families moving on different schedules. These are planning patterns, not promises about what every traveler will do. Write down your own priorities instead of copying an itinerary that happens to use the same holiday label.

Decide which movements are essential and which can be adjusted. A reserved dinner or a departing flight sets a different kind of deadline from an optional afternoon outing. For a group spanning several properties, determine whether everyone can meet at one location or whether separate pickups are needed. If relatives arrive on different days, record each arrival rather than treating the week as one airport transfer followed by unlimited local driving. A holiday booking works best when its scope matches the way your group actually travels.

3. Choose space for winter luggage, not just seats

Black SUVs accommodate up to six passengers and can suit a small family or executive party. The passenger limit alone does not settle whether ski bags, large cases and a stroller will fit. Executive Sprinters seat 9–13 and suit airport travel with ski luggage. Send the actual passenger and bag counts when requesting an estimate. If the group grows after booking, discuss the change before travel rather than expecting the same vehicle to absorb extra people and equipment.

Sprinter limo or party vans seat 14–16. Party buses generally accommodate 20–40, with some carrying roughly 50; motor coaches seat 40–56. Stretch limos seat 10–20. Match the cabin to the occasion as well as the headcount. A celebration ride and an airport transfer do not necessarily call for the same vehicle. Request child seats in advance and discuss any mobility requirements for the specific vehicle. These details are easier to address while options are being considered than when everyone is already standing outside with bags.

4. Protect the airport portion of the holiday

ASE to downtown Aspen is about 10 minutes in good conditions. That short drive can tempt travelers to leave the ground plan until the end, but a family still needs time to collect luggage, assemble and load. Provide flight details and the exact lodging address. For the return, tell the booking contact your flight time and ask about a suitable pickup allowance. Do not calculate departure solely by subtracting the driving estimate from the airline’s check-in requirement.

If you are considering another airport, compare the entire journey. Eagle to Aspen is about 1.5 hours in good conditions; Grand Junction is roughly 2–2.5 hours via Glenwood Springs. Denver is about 3.5–4 hours via I-70 and Glenwood Springs in winter. Weather can add significant time. Independence Pass is closed roughly November through late May, so a winter plan cannot rely on that summer route. Discuss what an alternate airport would mean for the ground booking before treating a changed flight as a minor itinerary edit.

5. Make ski mornings and residence pickups workable

Aspen to Snowmass Village takes about 20 minutes in good conditions, but the morning schedule also needs breakfast, equipment collection and boarding. Choose a time for everyone to be ready before the planned vehicle departure. Put the agreed meeting point in one message that every household can find. If your group is split across hotels, share the full property names and passenger counts rather than assuming the chauffeur can collect everyone without additional loading time.

For private residences in Red Mountain, Starwood and Snowmass Village, confirm driveway access and turning space with the host or property manager. Gate instructions and a reliable local contact may be important, but share sensitive access details directly with the booking contact. Larger vehicles may need a different meeting point from an SUV. Party Bus Aspen is independent and not affiliated with any hotel; transportation is arranged separately from lodging. Every vehicle has winter tires all ski season, yet weather and access conditions still require realistic timing.

6. Plan the return before the celebration starts

For a holiday dinner or New Year’s evening, the return deserves as much attention as the outbound ride. Confirm the departure location, the service window and whether the vehicle is booked to wait or return at a specified time. If guests are going to several residences, list those destinations in advance. One person should be responsible for communicating a change, especially when a meal runs late or different parts of the group want to leave at different times.

Do not assume an additional late-night departure, extra stop or extended waiting period is included because the original trip was short. Ask how revisions are handled and what availability would be needed to support them. Share the return instructions before guests separate for the evening, not only when the first person wants to leave. A good plan does not require everyone to watch their phones throughout dinner; it gives them a known meeting point, an agreed time and one contact if something changes.

7. Understand minimums before comparing hourly ranges

Early planning is about getting a suitable, clearly scoped booking, not chasing a guarantee of lower holiday pricing. Most bookings have a four-hour minimum. Prom, homecoming and high-season Friday–Sunday bookings have a six-hour minimum. Ask which minimum applies to your itinerary. Do not assume every holiday weekday automatically follows the weekend rule, or that a short airport drive means the booking is charged only for the minutes spent moving. The estimate should explain the service you are reserving.

Hourly ranges vary by vehicle size and season: black SUVs are $125–$200; Sprinter limo vans are $200–$350; stretch limos are $150–$350; party buses and motor coaches are $250–$400. Chauffeur gratuity is not included. Your rate is locked in when you book, with no surge pricing. That rate lock should not be confused with unlimited service: confirm how additional hours, changed stops or a different vehicle would affect a revised itinerary. Review booking and cancellation terms directly instead of assuming a holiday reservation follows your hotel’s policies.

8. Send a useful request, then maintain one current plan

The most useful first message includes dates, number of passengers, luggage, lodging, airport details if known and the movements you want covered. Mark any tentative dinner or flight time clearly. Ask for the proposed vehicle category and booked service windows to appear in the estimate. Before departure, update the contact with final flight information, changed passenger counts and access instructions. Give the group a simple itinerary with pickup points and a designated organizer, rather than forwarding a long chain of planning messages.
